1. Who we are
Docaza is a mobile app that stores your documents, extracts key details such as expiry dates, and reminds you before those dates arrive. Docaza is operated by Altic LLC, a Delaware limited liability company ("we", "us"). You can reach us at support@alticllc.com.
This policy covers the Docaza mobile app and this website.
2. What we collect
| What | Why |
|---|---|
| Account details — your email address, and the sign-in identifier from the method you choose | To create your vault and let only you into it |
| Documents you add — the images or PDFs you scan or upload | They are the thing you're storing; we hold them so you can get them back |
| Details extracted from documents — title, provider, document number, issue and expiry dates, category, and any tags or notes you add | To organise your vault, power search, and schedule reminders |
| Reminder settings — which documents to remind you about and how far ahead | To send the right notification at the right time |
| Device push token | To deliver reminder notifications to your device |
| Basic app diagnostics — crash reports and error logs | To find and fix bugs. These record what went wrong in the app, not what your documents say |
| Subscription status — whether your Unlimited subscription is active | To unlock unlimited documents. Payment is handled by your app store; we never see your card details |
| Email you give us on this website | To tell you once when Docaza is available. Nothing else |
We do not ask for your name, address, phone number or date of birth. If that information happens to appear inside a document you scan, it's stored as part of that document — see the next section.
3. Your documents and how AI reads them
When you scan or upload a document, Docaza sends the image to a third-party AI provider (Anthropic) so it can be read and the key fields pulled out. The provider processes the image to return the extracted text and dates, and does not use it to train models.
Two things follow from how this is built:
- Nothing is saved without you. The extracted fields are shown to you first. Anything the AI is unsure about is flagged Please verify. The document is stored only after you confirm.
- Extraction is not perfect. AI can misread a date, especially on a blurry or unusual document. That's why you review every field. Please don't rely on Docaza as the only record of a legal deadline — keep your originals.
4. How we use your information
- To store your documents and show them back to you
- To extract details and categorise documents, with your confirmation
- To schedule and send expiry reminders
- To let you search, filter and share your own documents
- To keep the app working — fixing crashes, preventing abuse, keeping accounts secure
- To answer you when you contact support
- To manage your subscription status
5. What we never do
- We never sell or rent your personal information.
- We never use your document images or their contents to train AI models, and we don't allow our AI provider to either.
- We never put document contents into analytics or logs.
- We never show you third-party advertising inside the app.
- We never share your documents with anyone unless you share them yourself, or unless we're legally compelled to (see §7).
6. Where your data is stored and how it's protected
Your documents and their details are stored in Google Firebase (Cloud Firestore and Cloud Storage), which is Google Cloud infrastructure. Data is encrypted in transit and encrypted at rest by Google.
Access rules on the vault are written so that a document can be read only by the account that created it. There is no shared or public bucket.
On your own device you can switch on an app lock — a biometric or device-PIN check that keeps the vault closed even when the phone itself is unlocked.
To be straightforward about the limits: Docaza does not hold any security certification (no SOC 2, no HIPAA compliance, and we won't call anything "bank-grade"). Your documents are not end-to-end encrypted, which means they are readable by the storage service in the same way any normal cloud app's data is. No system is perfectly secure, and we can't guarantee absolute security.
Firebase stores data in a specific region chosen for the project. If you need to know exactly where, email us and we'll tell you.
7. Who else is involved
We use a small number of service providers to make Docaza work. They only receive what they need for their part of the job:
| Provider | What they handle |
|---|---|
| Google Firebase (Google LLC) | Authentication, document storage, database, push notifications, crash reporting |
| Anthropic | Reading your documents to extract fields, at the moment you scan one |
| Google Play / Apple App Store | App distribution and subscription billing. They tell us whether a subscription is active; we never receive your payment details |
We may also disclose information if we're required to by law, or where it's necessary to protect someone's safety or our legal rights. If that ever happens we'll tell you unless we're legally prevented from doing so.
8. How long we keep things
- Documents and their details: until you delete them, or until you delete your account.
- Account record: for as long as your account exists.
- Diagnostics and crash logs: a rolling short window, then discarded.
- Early-access email addresses from this website: until launch, or until you ask us to remove yours — whichever comes first.
9. Deleting your account and data
You can delete individual documents at any time, and you can delete your whole account from inside the app. Deleting your account erases your documents, extracted details, reminders and account record from our systems. It cannot be undone, so export or share anything you want to keep first.
If you can't get into the app, email support@alticllc.com from the address on the account and we'll handle the deletion for you. Step-by-step instructions are on the support page.
Backups roll over on their own schedule, so a copy may persist in backup storage for a short period after deletion before being overwritten.
10. Your rights
Depending on where you live, you may have the right to access a copy of your data, correct it, delete it, object to certain processing, or ask for it in a portable form. Docaza is built so you can do most of this yourself: your documents are all in the app, you can edit any extracted field, you can share a document out as a PDF, and you can delete everything.
For anything you can't do in the app, email us and we'll help. We won't charge you for it or treat you differently for asking.
11. Children
Docaza is not intended for children under 13, and we don't knowingly collect their information. If you believe a child has created an account, email us and we'll remove it.
12. Changes to this policy
If we change how we handle your information, we'll update this page and change the date at the top. If a change is significant, we'll tell you in the app before it takes effect.
